DocType Manager

The DocType Manager screen enables users to create and manage Document Types and their associated fields within the Procys platform.

The DocType Manager screen enables users to create and manage Document Types and their associated fields within the Procys platform. Currently, only one document type can be created per company and sub-company.

A new Document Types option is available in the left navigation pane of the Procys app. By clicking this option, users are directed to the DocType Manager screen. During the signup or login process for a new company or sub-company, users are prompted to either select an out-of-the-box document type or create a new document type.

When users choose to create a new document type, they are navigated to the DocType Manager screen. Here, they can define a custom document type tailored to their specific needs.

Managing Fields

The Manage Fields feature allows users to define and configure fields for both Header and Line sections of a document type.

To manage fields for a particular document type, users can click on the Manage Fields option under the Action column. This action redirects them to the Manage Fields page.

Adding New Fields

At the top of the Manage Fields page, an Add a Field button is available.

Clicking this button opens a right-hand panel where users can input field details, including:

  • Field Name: Users can manually enter a field name or select from predefined out-of-the-box fields using the Field Name dropdown. When a predefined field is selected, the remaining field details auto-populate.
  • Section Selection: Choose whether the field belongs to the Header or Line section.
  • Field Type: Specify the type of the field (e.g., text, number, date, etc.).
  • Description: Users can provide a concise description outlining the specific information they wish to extract from the document for this field.
    • Example for a Date of Birth Field:
      "Extract the date of birth from the document. Look for the term 'Nacido' followed by a date in the DD/MM/YYYY format. Return only the extracted date of birth."

Reusing vs. Creating New Fields

If a predefined field is selected, a toggle option appears at the bottom of the form, asking whether the user wants to:

  • Reuse the Out-of-the-Box Field: Maintain the existing field configuration.
  • Create a New Field with the Same Name: Allows for customization of the field's description and other details.

When the toggle is disabled, users can freely edit the field details and save their changes.

Bulk Field Creation

Users have the flexibility to create multiple fields simultaneously and save them all at once, enhancing productivity and efficiency.

Additional Features

  • Search Bar: Located at the top of the Manage Fields page, the search bar helps users quickly locate specific fields, especially when managing large datasets.
